Privacy Policy

Who we are
Contropia is a customer relationship management platform built for exterior contractors — roofing, siding, and gutter companies. In this policy, "Contropia," "we," and "us" mean the Contropia service and the business that operates it. Questions about privacy can be sent to contropia.office@gmail.com.
The short version
Your data runs your business in Contropia. It is never sold, never rented, and never shared with advertisers — not your data, and not your customers' data. That is a founding principle of this company, not a marketing line.
What we collect
Account information: the names, email addresses, phone numbers, and roles of you and your team members, and your company details (name, offices, branding, licenses).
Business data you put in Contropia: your customers' names, addresses, contact details, job and project information, estimates, contracts, payments, photos, files, notes, and communications recorded in the platform. You control this data; you enter it to run your business.
Connected-account data: if you connect a third-party account — for example QuickBooks Online or a calendar — Contropia accesses only what the connection needs to work. A QuickBooks connection syncs customers, invoices, and payments between Contropia and your own QuickBooks company. Connection tokens are stored on our servers, never on shared or public systems.
Technical data: device, browser, and log information needed to operate, secure, and improve the service.
How we use it
To operate the platform: pipelines, scheduling, estimating, customer portals, messaging, reporting, and the integrations you turn on.
To power AI features (such as drafting, summarization, and estimating assistance) using your company's data, for your company only.
To provide support, send service notices, prevent abuse, and comply with the law.
We do not use your customers' data to advertise, to build marketing profiles, or for any purpose outside running your account.
Who we share it with
Service providers who run pieces of Contropia for us — cloud hosting, database, email and message delivery, payment processing, and AI model providers — only to the extent needed to provide the service, and only under their own confidentiality and security obligations.
Third parties you connect: when you connect an account like QuickBooks, data flows to that service as you direct, under that service's own privacy policy.
Legal requirements: if we are legally required to disclose information, or to protect the rights and safety of our users, we may do so and will limit disclosure to what is required.
We never sell personal information.
Your customers' data
As between you and Contropia, your customer and job data belongs to you. We process it on your behalf to run your account. If one of your customers asks us about their information, we will direct them to you, and we will help you respond.
Security
Data is encrypted in transit and at rest. Access inside Contropia is role-based: your team sees what their role allows, and each company's data is walled off from every other company. Integration credentials are stored server-side and never exposed to other users or companies.
Retention and deletion
We keep account data while your account is active. If you close your account, you can request a copy of your data and its deletion; we will delete it within a reasonable period except where the law requires us to keep records.
Cookies
Contropia uses cookies that are essential to sign-in and security. We do not use advertising or cross-site tracking cookies.
Your choices
You can update your account information in Settings, disconnect any integration at any time (which stops its data flow immediately), and contact us at contropia.office@gmail.com about access, correction, or deletion requests.
Changes to this policy
If we change this policy in a way that matters, we will post the updated version here and note the new date. Continued use of Contropia after a change means the updated policy applies.
